If your interview is being recorded

The organization interviewing you uses HireBest, a tool that helps hiring teams prepare for interviews and keep track of what was discussed. If they have asked to record your interview, this page explains what that means.

What is recorded

The conversation — audio only. If the interview happens in person, the interviewer may use the HireBest app on a phone, usually placed on the desk between you. If it happens on a video call, the recording is made through the meeting platform.

You should always be asked first. For an in-person recording, the interviewer has to confirm they have your agreement before the app will start, and they are given a short line to read aloud so your answer is part of the recording. On a video call, the meeting platform shows a recording notice on screen. If you would rather not be recorded, say so — the interview can go ahead without it.

Why

So the hiring team has an accurate record of what you actually said, rather than a half-remembered version written up afterwards. In practice this tends to work in a candidate’s favour: what you said is what gets considered, and it can be checked.

Who can see it

The recording and its transcript sit in the private account of the organization interviewing you. People on that hiring team can see it. HireBest stores it for them and does not share it with other employers, sell it, or use it to advertise to you.

Where AI comes in

HireBest uses AI to turn the recording into a readable transcript, to summarize it, and — for an in-person recording, where there is no way to tell the voices apart on its own — to work out which voice is yours and which is the interviewer’s.

AI does not decide anything about your application. It does not choose who moves forward, it does not rank candidates against each other, and it does not filter anyone out. Those decisions are made by people on the hiring team.

It does, however, form impressions the hiring team can read — for example, a read on how confident and open you seemed, where your answers gave stronger or thinner evidence for what the role needs, and moments flagged for the interviewer to follow up on. Some of these are expressed as labels or scores. Those are for a person to weigh against everything else they know, not a verdict, and the team is expected to check anything the AI produces against the actual recording. AI can get things wrong, including who said what.

We do not create a voiceprint from your interview, and we do not use your voice to identify you.

How long it is kept

The recording is kept for as long as the organization interviewing you has a HireBest account. They decide how long to keep your information, in line with their own policies and the law where they are.

If the recording was made on a phone, it stays on that phone only until it reaches HireBest — usually within minutes or hours of the interview. If it cannot be uploaded, it stays on that phone, flagged for the interviewer, until it can be — it does not go anywhere else in the meantime.

Questions, or changing your mind

Ask the organization interviewing you first. They decide what happens to your information, including whether to delete it, and they are the ones who can act on a request. HireBest holds the recording on their behalf.
